Bookkeeping Basics

Bookkeeping vs Accounting

Bookkeeping is recording transactions; accounting is interpreting them — one captures, the other explains.

Bookkeeping is the mechanical layer: classifying every transaction, issuing invoices, paying bills, reconciling accounts, and keeping the general ledger current. It's about completeness and accuracy — everything recorded, in the right account, in the right period.

Accounting sits on top of that layer: choosing accounting policies, making estimates (bad debt, depreciation, revenue recognition), preparing financial statements, and translating the output into decisions. A simple way to hold it: bookkeeping tells you what happened; accounting tells you what it means. Early-stage companies often run both with one person or tool, but the distinction matters — clean books with no interpretation leave founders with statements they can't act on, and interpretation without clean books is fiction.

Example

Every Stripe payout gets categorized into the right accounts and the bank account gets reconciled — that's bookkeeping. Deciding that a $30,000 annual contract should be recognized over twelve months rather than booked entirely in month one, and explaining why gross margin dropped 4 points — that's accounting.

Common questions

Do I need an accountant if I have bookkeeping software?

Software handles recording and basic categorization. You still need accounting judgment for period-end adjustments, revenue recognition, estimates, and making sure the statements hold up with investors, lenders, and tax authorities. The tool does the filing; the accountant does the deciding.

Can the same person do both?

Yes, and at small companies they often do — a founder- CFO or fractional controller frequently owns bookkeeping oversight and accounting policy. What doesn't work is having bookkeeping done without anyone accountable for the accounting conclusions drawn from it.
