Bookkeeping Basics
Double-Entry Bookkeeping
The recording system where every transaction hits at least two accounts, with total debits always equal to total credits.
Double-entry bookkeeping records each transaction twice — once as a debit, once as a credit, for equal amounts — so the accounting equation (Assets = Liabilities + Equity) stays balanced after every single entry. It's not optional bookkeeping ceremony; it's the structural property that lets you prove your books are internally consistent. If debits and credits don't tie, something is wrong, and you can find it.
The system is roughly 500 years old and still the foundation of every modern accounting framework, because it builds error detection into the record itself. A one-sided entry can't happen silently: every payment touches cash and something else, every sale touches revenue and something else, every expense touches an expense account and something else. The trial balance exists purely to verify this equality before statements are prepared.
Example
You buy $800 of software on the company card. Debit software expense $800 (expense increases), credit accounts payable $800 (liability increases). When you pay the card: debit accounts payable $800, credit cash $800. Both entries balance; the equation holds throughout.
Common questions
Why can't I just record one side of a transaction?
Because then the books wouldn't balance and you'd lose your built-in error check. Every transaction changes at least two things — money comes from somewhere and goes to something. Single-entry systems (essentially a cash log) can't detect misposting or omission.
Does my accounting software use double entry?
Yes — all modern accounting software (QuickBooks, Xero, NetSuite, even well-structured spreadsheets) enforces double entry under the hood. You see the friendly interface; it maintains the debits and credits.
